Enrolment Instructions for Learners: Level 5 - Operations Departmental Manager [2024-2025]

Welcome to our programme – we are delighted to start your enrolment process.   

Step 1: Book two Enrolment Meetings 

  

Please use the YouCanBook.Me link in your coach’s email signature to book two important meetings. Ideally, try to schedule these meetings at least 24 hours apart

    

Enrolment Meeting: Part 1 – 45 mins

Attendees: coach & learner  

    • Welcome & introductions
    • Eligibility checks 
    • Knowledge, Skills & Behaviours assessment discussion   
    • Any further questions

Enrolment Meeting: Part 2 – 45  mins

Attendees: coach, learner & line manager 

 

Please note: you must invite your line manager to Enrolment Meeting: Part 2 so they can sign key compliance documents to start your Levy funding. 

    • Welcome & introductions
    • Programme overview & commitments
    • Programme activation & compliance document signing    
    • Learner & line manager next steps (line manager can leave after this segment)   
    • First day of learning task completion (note: this segment is recorded for compliance purposes)

 

Step 2: Register your Aptem Account(approximately 5 mins)

 

Your Enrolment Form is located on Aptem, our Learning Management System. You will shortly receive an email from email@aptem.co.uk with details on how to register and set up your account. If you don’t see the email in your inbox or spam folder, please speak to your IT team about adding the address above to the ‘allow list’.

Step 3: Complete your Enrolment Form on Aptem   (approximately 25 mins)

 

We recommend reading our Programme Handbook before you start your Enrolment Form. If you have any questions as you’re completing the Form, refer to the relevant section of our FAQs

 

Please complete the form before your meeting. We can review any unanswered questions during the meeting with your coach, but it will save time if you complete the majority of the form in advance.  

 

Note: When you reach the Personal Learning Record page, please DO NOT complete this section; click ‘Next’ to proceed. 

 

 

Step 4: Complete your Knowledge, Skills and Behaviours Assessment Form (approximately 15 mins)

  

Please download the Knowledge, Skills and Behaviours Assessment (KSB) Form below, complete and upload this to the ‘Knowledge, Skills & Behaviours Assessment – Upload’ of your Aptem Enrolment Form

 

We suggest agreeing your scores with your line manager ahead of the KSB Assessment discussion in Enrolment Meeting: Part 2

 

Please refer to the instructions page on the KSB Form before completing.   

 

 

 

Step 5: Complete your English and Maths Initial Assessments (approximately 30 to 40 mins per assessment) 

 

Follow the links in the Enrolment Form to complete the Initial Assessments in both English and maths on the BKSB website. 

 

You must complete these assessments prior to your first Enrolment Meeting so that your coach can review your results with you during the meeting.

Step 6: Upload your English & Maths qualifications (approximately 5 mins) 

 

Upload your English and maths GCSE (grades C/4 or above) certificates or equivalent Level 2 qualifications to your Enrolment Form. 

 

Please refer to the English & Maths Apprenticeship Standards List to see what qualifications are accepted.  

 

If you don’t hold (and cannot obtain) evidence of existing English and maths qualifications, we can book free Functional Skills exams on your behalf. You can discuss this with your coach during your meeting.

Step 7: Review Compliance Documents 

 

You and your line manager will be asked to sign the compliance documents during your second Enrolment Meeting. Click on the tabs below to view template copies of the documents ahead of the meeting.   

 

The three compliance documents below outline the terms of the apprenticeship and the commitments made by the learner, line manager and training provider. These documents must be signed by all parties for the apprenticeship to begin and for Future Talent Learning to start the Levy funding. 

 

   

 

 

Step 8: Prior to your Enrolment Meetings you will need:   

    • Your employment start date and your contracted hours - refer to your employment contract or with your HR Manager if unsure.   
    • Your ID/proof of right to work - you will need to show these documents to your coach on the screen and add the document details to the Enrolment Form.   
    • Formal assessments (if you have copies) of any disability, learning difficulty or health conditions that may impact your learning.
